SaaS Board Update Checklist: Metrics, Checks and Decisions

This SaaS board update checklist helps you prepare consistent performance evidence and clear decisions for a quarterly review. For a focused quarterly review, prepare an ARR bridge, opening-customer retention, an operating view, cash assumptions and a short list of decisions. Each number needs a reporting period, a definition and an owner who can explain it.

This checklist is a working approach for an early-stage or growing B2B SaaS company. It is not a prescribed board format, an accounting standard or investment advice. Adapt it to your directors’ requests and your company’s reporting policies.

Work through the example in an editable file

The free six-slide PowerPoint sample pairs the fictional figures below with blank working pages. No email signup is required.

  1. Slide 2: reconcile opening ARR of $6.00M to closing ARR of $6.50M.
  2. Slide 3: compare closing ARR with the opening cohort, which ends at $5.95M. Quarterly net retention is 99.2%.
  3. Slides 4–6: enter your own ARR bridge, retention definition and decision brief. Verify totals externally, then update the slide text and chart data manually.

The sample includes native editable tables and a chart. It is a preparation aid, not the full paid report or an automated financial model.

What belongs in a SaaS board update?

SectionQuestion to answerEvidence to prepare
Executive summaryWhat changed and what needs attention?A small set of reconciled metrics and the largest actual-versus-plan differences
Recurring revenueWhere did ARR growth come from?Opening ARR, new sales, expansion, contraction, churn and closing ARR
RetentionWhat happened to the opening customer base? The same opening cohort throughout the period, excluding new customers
Operating resultsHow did revenue and costs compare with plan?A finance-reviewed period view with a clear treatment of adjustments
CashWhat spending assumptions matter next?Closing cash, cash movements and a forward cash plan
DecisionsWhat should the board approve or resolve?A specific request, alternatives, cost assumptions, an owner and a review date

1. Fix the period and definitions before building slides

Write the start date, end date, currency and reporting scope at the top of your preparation sheet. Then decide whether each chart shows a period flow, an ending balance or a cohort measure. A June closing ARR balance and revenue recognized during April through June answer different questions. Label them separately.

For every headline metric, record the source, extraction date and responsible person. If Finance changed the definition, preserve the old comparison or explain why it no longer works. A clean-looking trend can mislead when the calculation changes halfway through it.

Use the free board update preparation checklist to organize these checks.

2. Reconcile the ARR bridge

Start with the recurring revenue balance at the beginning of the period. Add new-customer ARR and expansion. Subtract contraction and churn using your disclosed policy. The result should match the ending balance under the same definition and currency basis.

Fictional quarterly example in USD millions
MovementARR
Opening ARR6.00
New-customer ARR+0.55
Expansion+0.20
Contraction−0.08
Churn−0.17
Closing ARR6.50

The calculation is 6.00 + 0.55 + 0.20 − 0.08 − 0.17 = 6.50. These are invented figures for explaining the check, not a real company’s results or a benchmark. If your company includes currency movements or acquisitions, make those movements explicit rather than forcing them into sales or retention.

Compare actual movements with the plan as well as comparing ending balances. An ending ARR miss can arise from weaker new sales, unexpected churn or both. Those situations need different discussions.

3. Keep new customers out of retention

Use only the customers included at the opening date when calculating opening-cohort retention. In the example, the retained cohort closes at 6.00 + 0.20 − 0.08 − 0.17 = 5.95. The 0.55 of new-customer ARR belongs in growth, not in that cohort’s retention numerator.

Using these definitions, gross retention is (6.00 − 0.08 − 0.17) ÷ 6.00 = 95.8%, rounded to one decimal place. Net retention is 5.95 ÷ 6.00 = 99.2%. These are quarterly cohort measures. Do not label them trailing-12-month measures or annualize them without explaining a separate method.

If the board asks about retention drivers, prepare an anonymized breakdown of contraction and churn by an appropriate segment. A single blended rate cannot explain whether losses concentrate in one customer group.

4. Separate current-burn runway from a cash forecast

A simple ratio can help orient the conversation. For example, 4.40 million of closing cash divided by 0.15 million of average monthly net burn gives about 29.3 months. It assumes the same burn continues. It does not incorporate a new hiring plan, uneven collections, a major renewal payment or financing.

Show those assumptions beside the ratio. Bring a monthly forward cash plan when the decision affects spending or liquidity. Explain how it differs from the historical burn calculation. Reconcile opening cash plus inflows minus outflows to closing cash before circulating the update.

5. Turn an observation into a decision with conditions

A line saying “sales capacity needs attention” is hard to act on. A decision brief should name the proposed action and explain what happens if the board chooses another option.

  • Request: approve one additional role, subject to a defined release condition.
  • Evidence: the actual capacity constraint and qualified work the role would support.
  • Cost: the fully loaded estimate and the date the cash forecast includes it.
  • Alternative: defer the hire, change scope or use an existing resource, with the relevant trade-off.
  • Owner: the person responsible for checking the condition and reporting the result.

These are fields to complete, not a hiring recommendation. Use your company’s approval process. Do not imply a role pays for itself unless you have evidence and a disclosed calculation.

6. Check the file as well as the numbers

Open the presentation in the application the team will actually use. Edit a chart value in a working copy and confirm the displayed chart changes. Check table totals, labels, units and notes. Replace the period in the cover, chart axes and appendix, not just in the filename.

Export a review copy and inspect every page. Look for cropped labels, tiny footnotes, inconsistent colors and claims that no longer match the data. Check access permissions before sharing an appendix with identifiable customer information. Keep source records in the appropriate restricted location rather than embedding unnecessary private data in the board deck.

Board update or customer QBR: which one do you need?

A board update reports company performance and decisions for directors. A customer success quarterly business review usually discusses one customer’s agreed outcomes and next actions. Both can discuss adoption or retention, but their audience, scope and decision authority differ. This distinction is a useful starting point, not a rule about what every company calls a meeting.

Before reusing a template, ask who will attend and what they need to decide. Do not place confidential company-wide finance material in a customer presentation simply because the slides share a quarterly-review label.

Frequently asked questions

How many slides should a SaaS board update have?

There is no universal count in this checklist. Use the fewest pages that communicate the required evidence and decisions clearly, with supporting detail available separately. Agree the scope with the board.

Can ARR replace recognized revenue?

No. A recurring contract run rate and revenue recognized for a reporting period serve different purposes. Label them separately and align the accounting view with Finance.

Is a high net retention rate proof that the whole company is growing?

No. It describes the defined opening cohort. Company growth also depends on other movements, including new customers. Inspect the full ARR bridge and disclose the cohort period.

Does an editable deck update from billing or CRM automatically?

Only if a specific integration provides that behavior. The TemplateBase board update deck uses manually edited chart data and tables. Updating one object does not automatically update the rest of the presentation.

A starting file for the review

If you want a presentation framework after completing these checks, the SaaS Board Update PowerPoint Template includes a 15-slide fictional example, a matching 15-slide working template and a three-sheet Excel preparation workbook. Use the workbook to reconcile the ARR bridge, calculate core metrics and record sources and owners, then transfer the checked figures to the editable presentation manually. Review the actual previews and file requirements before buying. The kit does not connect to billing or CRM, automatically populate the slides, or replace your company’s reporting review.
