Know what each order earns – and what is left in stock
The Ecommerce Profit & Inventory Spreadsheet Template is an editable Excel system for small product businesses that need a practical view of order contribution, list-price economics and available units. Enter your own products, order lines and stock receipts; the formulas update the monthly dashboard and flag inputs that need review.
Use it for a Shopify, Etsy or other small online shop when you want to compare actual selling prices with the costs behind them. It is a manual-entry workbook, not a direct store integration or accounting platform.
What you can do with this workbook
- Price before you list: enter standard unit cost, packaging, platform fee, flat fee, shipping estimate and target margin. See contribution per unit, margin at list price, the minimum target price and any negative price gap.
- Review actual order contribution: log units, sale price, shipping charged and paid, plus actual fee rates. Each order row calculates revenue, product and packing costs, platform fees, net contribution and margin.
- Watch stock: combine opening units, receipts and sold units by SKU. Distinct statuses flag reorder points, negative stock and missing opening balances.
- See the year at a glance: select a report year for the monthly revenue, total costs and net contribution view. A native, editable line chart shows the trend.
- Catch incomplete entries: missing required order inputs and unknown SKUs are flagged. Headline figures show n.a. rather than presenting an incomplete profit total as valid.
What is included
- Editable Excel example workbook with 8 fictional products, 20 order lines and 10 stock receipts.
- Matching blank Excel workbook with live formulas and input validations.
- Four-page PDF quick-start with a worked order calculation, setup sequence, pricing logic and monthly review routine.
- README and single-business use license.
The prebuilt formula ranges cover up to 100 SKUs, 300 order lines and 200 stock receipts. The package is a ZIP download. Microsoft Excel is the intended application; other spreadsheet apps may display some formatting or charts differently.
How it works
- Open the blank workbook and set the report year on Dashboard.
- Add unique SKUs and enter product costs, starting units, reorder points and list-price assumptions in Products.
- Record physical stock receipts in Stock log and sales in Orders – one order row per SKU.
- Review order exceptions first, then stock alerts, negative contributions, target-price gaps and the monthly trend.
Amber cells with blue text are editable. Type 0 for a genuine zero fee or shipping amount instead of leaving a required number blank.
Who this template is for
Independent ecommerce sellers, small product brands, makers and resellers who manually maintain a modest SKU catalog and want a clearer contribution view. It is especially useful when products sell through more than one channel and fees vary by order.
What it does not do
This workbook uses standard product cost. It does not calculate weighted-average or FIFO inventory costs, sales tax, advertising, overhead, refunds, returns, disputed payments, multi-currency conversion or formal accounting net income. It does not import Shopify or Etsy transactions automatically.
