TEMPLATEBASE FREE WORKSHOP DECISION BRIEF v1.0

PURPOSE
Prepare a short internal decision before one workshop and summarize the recorded
result afterwards. The two-slide blank file contains editable PowerPoint text
and native tables. The separate two-slide example demonstrates a complete use.
It uses an invented illustration workshop, people, dates and money amounts.

FILES
Workshop_Decision_Brief_Blank.pptx: your reusable working copy, two slides.
Workshop_Decision_Brief_Example.pptx: completed fictional case, two slides.
README.txt: this workflow and independent example arithmetic.
LICENSE.txt: use and sharing terms.

SOFTWARE
Microsoft PowerPoint for Windows. Native opening, text/table editing, full
blank-to-example entry, save-close-reopen and a second manual update were tested
in PowerPoint16.0 build20527. Slides use Arial and Georgia. Other applications,
PowerPoint for Mac, Google Slides, mobile editing and PDF export were not tested.
Office subscriptions are separate. The files contain no macros or links to
external workbooks. Text and table cells remain editable.

START
1. Open the example to see the final type of report. Open Blank and save a copy
with your event name and date. Use one event and one currency in each file.
2. On slide1, replace the workshop/date/currency fields. Copy the dated budget's
ticket price, expected paid guests, comps, capacity and calculated thresholds.
Confirm whether the surplus includes host pay. Enter confirmed paid bookings
from a dated source, separately from expected sales. Record the human decision,
its reason, owner and next checkpoint. Check commitments against real terms.
3. On slide2, copy actual ticket gross AFTER discounts, cumulative money refunded
and net fees retained from a reconciled provider statement. Record incurred
costs from supplier records. Record the host allowance separately.
4. Calculate figures outside PowerPoint, then enter the results manually. In the
result table use a MINUS sign for deductions and a PLUS amount for a net fee
credit. Net ticket funds = gross minus refunds minus retained fees.
Surplus = net ticket funds minus incurred supplier costs minus host allowance.
If your source workbook stores deductions as positive inputs, convert them to
the signed display convention shown in this brief. Do not deduct them twice.
5. Independently calculate Actual surplus minus Planned surplus and update the
separate variance textbox. All repeated amounts, labels, dates and sentences
need manual updates. Changing one cell does not update another field.
6. Enter seats sold and seats released separately from money refunded. Active
paid seats = sold minus released. Add comps for booked guests. Enter actual
attendance from check-in. A no-show alone does not establish a refund.
7. Compare net ticket funds and the provider's recorded net payout over the same
scope and cutoff. Inspect any difference. It is not automatically money owed,
a bank balance, accounting revenue or profit. Add one supported action with an
owner/date. Remove the example's fictional footer only from your completed
working report, while keeping the manual-update disclosure appropriate.
8. Search the final report for '[' and ']' and resolve every working field.
Keep unknown amounts marked Unknown. Do not silently substitute zero. Verify
totals against evidence, then save, close, reopen and inspect before sharing.
Duplicate the blank for the next edition. Do not overwrite the master blank.

EXAMPLE PLAN, USD
Fixed costs320.00; per guest15.00; one comp; host allowance180.00.
Planned ticket85.00. Assumed fee3.2% of ticket money plus0.40 per paid seat.
Contribution per paid seat =85*(1-.032)-.40-15 =66.88.
Fixed plus comp cost plus host allowance =320+15+180 =515.00.
Break-even paid seats =round UP(515/66.88) =8.
Paid seats for150.00 target =round UP((515+150)/66.88) =10.
Expected12 paid seats give12*66.88-515 =287.56.
A16-person capacity with one comp leaves15 places for paid guests.
The first slide's seven confirmed seats and7Nov checkpoint are additional
fictional teaching inputs. Seven confirmed seats differ from twelve expected.
These figures are not actual demand evidence or a universal cancellation rule.

EXAMPLE RECORDED RESULT, USD
Gross1095.00 minus refunds190.00 minus retained fees40.24 =864.76.
Minus incurred costs543.00 minus host allowance200.00 =121.76.
Actual minus plan =121.76-287.56 =-165.80.
13 sold minus2 released =11active paid. Plus1comp =12booked. Attendance11.
Net ticket funds864.76 less recorded payout800.00 =64.76 for investigation.
The supplier total includes14material kits and15refreshment portions. Purchases
can differ from final attendance. These are simplified event-management measures,
not statutory accounting, tax calculations or advice on refund-policy law.

SCOPE AND OPTIONAL CALCULATION TOOL
This free brief communicates reviewed records. It does not calculate, predict
demand, decide whether to run an event, import bookings, track personal attendee
information, synchronize files, connect to banks or send messages. Use your own
budget and statement records. The optional paid workbook supports order-level
booking/refund/fee and incurred-cost reconciliation in editable Excel:

The paid Excel source files are separate and are not included in this free pack.
